The ASB module is by far the most detailed module. Caseworks itself comes from working with caseworkers in the field of anti-social behaviour amongst local goverment to effectively tackle the causes of anti-social behaviour.

Workflow and Case Management
Key to the operation of the system, is that it HELPS the user not to overlook Casework. Our Alert and Case Management Systems provide for the following:

• Reminders of unfinished actions, outstanding reviews and future appointments.
• Option to link reminders to emails for users who do not log in every day
• Case Management, shows date each of your cases, was last updated, which page and by whom.
• Facility for deletion of cancelled cases.

 
Comprehensive record of Actions, Time spent, Cost incurred and Outcomes
There are fourteen different Groups of formal and informal Actions, covering English and Scottish Law, each with a screen layout specific to the Action Group, each with a user-defined set of specific Actions and Outcomes. This redesigned facility allows the following facilities:
• Facility to require authorization
• Facility to reset the case stage, when an action is started
• Facility to set review periods
• Facility to record progress – dates, notices, court appearances, appeals etc
• Facility to record expiry date and review date after completion
• Facility to record staff time consumed at each stage in the action
• Facility to record external costs (eg Legal) incurred at each stage in the action
• Facility to record breaches of actions – ASBOs etc.
• Facility to close the case when an action is completed.
 

Multi Agency Working - The Disclosure process
Disclosure is a crucial part of multi-agency working. It is a process for requesting and receiving disclosure in a controlled and secure manner. We have worked on this with North Ayrshire Council to receive funding from the Scottish Executive to pilot multi-agency working. The facility has the following features:

• Formal request screen capable of separate authorisation
• Request made by alert and email can be to one, or a group of staff
• Formal response screen - one for each type of partner - police / social services / health / education etc.
• Facility to attach secure and encrypted password protected acrobat documents for case notes and other sensitive information
• Disclosure is visible in Caseworks Plus only to the user requesting and the user responding.
 
Correspondence Generation
This is part of the in-built document management facility, and ensuring a real payoff to users to reduce their workload. Documents can be generated through the system.

• Can be created From a selection of customer defined templates
• Templates can be linked to any screen and be specific to the content of that screen
• The user can update the content derived from the template and mail merge, to add to or amend the text.
• The correspondence is create automatically on the server, as a Word Document, linked to the case and a specific relevant page in the case, and is a visible download option for future reference.

 
Three-tier reporting facility
Caseworks includes reporting at the three levels you need.

• Personal Caseload and Team management statistics
• Ad-hoc enquiries to produce lists and case counts on any criteria
• Sophisticated reporting using Excel Pivot Tables and producing a wide range of charts and computations.

 
Online Procedure Manual
An online procedure manual, designed as easy to read flow diagrams, is an additional customisable system, fully integrated with Caseworks.
• This is an invaluable tool for the policy coordinator who is dependent on a large number of staff to implement a complex and sensitive policy.
• Can include linked resources to assist users – eg. Downloadable templates and policy documents
• Can be linked to Actions in order to be context sensitive.
 

Geo-coding
All PERSONS, INCIDENTS and ACTIONS are geo coded for import into a mapping package such as MAPINFO. The system holds a property gazetteer with an easy to use search facility, to guarantee that all records are correctly coded.

• Selected geo-coded information can be downloaded to Microsoft Excel.
• Geo-coded pages have a ‘Map Button’ to retrieve an internet web page of the map with the property marked.
• Geo locations only can be entered – as a means of locating incidents unrelated to residential property.
• New facilities under test, will fully integrate mapping reporting within the system, allowing hot spots to be displayed, and direct hyperlinks from maps to cases.
